The FMIS User Defined Fields interface allows the user to define the state's FMIS User Defined Fields-- each field's type, setting, and display order. These definitions control what can be entered in the State User Defined Fields on an FMIS project, so values match what FMIS accepts.
The FMIS User Defined Fields tool can be accessed by clicking on the FMIS tab on the Main Menu. Only users with the FMIS Administrator security role or users assigned a role that includes the View FMIS Configuration permission will have this option available. Only users with a role that includes the Manage FMIS Configuration permission can make changes.
When "FMIS User Defined Fields" is selected in the picklist, its interface will appear on the screen.
Fields
On the left side, the user can view a table listing each FMIS field. These columns appear on the table:
| Field | Description |
|---|---|
| Level | This field specifies whether the FMIS field belongs to the project ("Project") or to each obligation line ("Detail line"). |
| Field Name | This field lists the FMIS field's name, exactly as it appears in FMIS. |
| Type | This field designates the field type: Numeric, Text, Dropdown, Checkbox, or Date. |
| Setting | This field specifies the parameters (length) for the FMIS field or the source of the FMIS field's values. The content in this field is based on the selected type.
|
| Order | This field specifies the order in which the FMIS field appears on the FMIS project. |
| Active | This field specifies if the FMIS field is active or not. This toggle will be turned off (in the Detail window) when FMIS retires the field. |
| Review | This field specifies if a FMIS field needs review or not. If a row with a "Review" checkmark is selected, a banner reading "Review: set up from existing data" will appear at the top of the Detail window. This indicates that the FMIS field was created from values already stored on projects and should be checked. |
Edit a User Defined Field
To edit a FMIS User Defined Field, follow these steps:
- Select the FMIS tab on the Main Menu.
- Select "FMIS User Defined Fields" in the picklist.
- Select a FMIS field (row) in the table.
- Edit the desired values.
- Click "Save".
NOTE: Once a field has stored values on projects, its name, level, and type cannot be changed, and it cannot be deleted. Instead, the user can toggle the "Active" toggle off to retire the field.
Entering Values on an FMIS Project
On the FMIS project's Detail tab, the State User Defined Fields in the Other Information section follow these definitions. A Numeric field shows "Whole number" or "Up to N decimal place(s)" below it. A value that does not fit shows a message below the field, such as "allows at most 2 decimal places", and the project cannot be saved until it is corrected. A field that is no longer active is read-only and can only be cleared.
